When a participant is en route to a classroom, the next step will be confirming that they made it to the classroom. At this point, you will want to identify the person to contact in case of an emergency and gather any notes necessary about the participant.
Select the participant
Click or tap the individual that has made it to the classroom that you want to check in and then click or tap the "Check-in" button.
The adults that checked in with the child at assisted or self checkin will appear to be selected to contact in case of emergency. It is possible to have one or two individuals to select. Once the adults have been selected, tap or click the "Next" button.
Verify the phone number for the individual. The individual will be contacted via text message through the classroom app so it is important to capture a cell phone number. If the number on file is either blank or incorrect, tapping the "Update Info" button will allow the opportunity to update the phone number.
If the information is blank or incorrect, then use the textbox to type in the correct phone number then tap or click "Update Info".
After the phone number information is verified, the ability to capture notes for the day about the participant will display. It is recommended to ask the parents if there is any information that is important to know about the participant today. This is not required. If there are no comments then tap or click "No comments". If comments are typed in, the highlighted button's text will change from "No comments" to "That's It".
Once the information is verified and the comments are recorded, a confirmation message will display explaining that the participant is now checked into the classroom.
No Adult assigned to child
Click or tap the "Check-in" button on the participant. Most of the time, when the child checks in via self checkin or assisted checkin, the system will also capture the adults that checked in with the child. Every once in a while, that is not captured but it is still important to identify the person that needs to be contacted in case of emergency.
Check into a different room
There will be instances where the child that comes to the classroom was not originally en route to that classroom. In that case, the volunteer will be able to search for that person by name or 4 digit code. Once the search results display, click or tap the profile box and you will see the classroom the child was originally supposed to go to. By clicking or tapping "Check-in" will take you through the contact adult steps.
Original Room Participant View
The original classroom where the participant was en route will now show that the participant is checked in elsewhere. The profile box will be gray to indicate they are not in the currently classroom. Clicking or tapping the profile box will show where the participant is currently checked in.
