Create requirements for all of the things you want your team members to be sure and check off before your trip begins.
Requirements can include any of the documents you’ve created, asking participants to upload their passport images, or any tasks you’d like to create for your trip leaders.
These requirements can be added to your trip as either Pre-Requisites to fill out at the time of applying or after they have been accepted onto a trip.
Accessing Your Requirements
Navigate to your Requirements from the Admin Tab.
Admin --> Components --> Requirements (on the left side menu)
Creating a New Requirement
To begin creating a new requirement, click the Create New Requirement button at the top right.
Requirement Types
1. There are 6 different Requirement Types. Read below to see how each type works.
2. Along with selecting the requirement type, you will also select who the requirement is and who can complete that requirement — all Requirement Types can be created to either allow fulfillment by any trip participant regardless of age or may only be fulfilled by a legal adult aged 18 or over.
This feature ensures that any legally-binding documents, agreements, signatures, or any parental consent forms may only be completed by an adult.
To take advantage of this feature, choose the 18 Years + or Guardian toggle button on your adult-assigned Requirements.
The Task requirement can only be completed by the Team Leader (and only an admin can complete the Team Leaders Task), this might be used for attending a meeting, checking church membership or background checks, etc.
- Select the Task requirement type.
- Requirement Name (this will only be seen internally) A time-saving tip for when you are creating an actual trip is to give all your requirement names a prefix to more easily select which ones belong to which type of time. For example ALL_ for something all trips, INTL_ for only something needed on international trips, DOM_ for domestic trips, YTH_ for youth, and so on.
- Friendly Name (this is what will be displayed to the Trip Leaders and Participants), and
- When you are done, select Create Requirement to save.
The User Upload requirement is for any document you need your participants to upload ( ie. passport copy, driver's license, immunization record, etc.)
- Select the User Upload requirement type.
- Requirement Name (this will only be seen internally) A time-saving tip for when you are creating an actual trip is to give all your requirement names a prefix to more easily select which ones belong to which type of time. For example ALL_ for something all trips, INTL_ for only something needed on international trips, DOM_ for domestic trips, YTH_ for youth, and so on.
- Friendly Name (this is what will be displayed to the Trip Leaders and Participants), and
- When you are done, select Create Requirement to save.
Use the Sign Document requirement type to gather electronic signatures from your Team Members on any of the Legal Documents you created under your Document Tab (Admin --> Components --> Documents (on the left menu))
- Select the Sign Document requirement type.
- Requirement Name (this will only be seen internally) A time-saving tip for when you are creating an actual trip is to give all your requirement names a prefix to more easily select which ones belong to which type of time. For example ALL_ for something all trips, INTL_ for only something needed on international trips, DOM_ for domestic trips, YTH_ for youth, and so on.
- Friendly Name (this is what will be displayed to the Trip Leaders and Participants)
- Select the Document you want to have signed
- When you are done, select Create Requirement to save.
**Please note in the screenshot below that we utilized our Minor/Guardian Process
Use the Read & Accept requirement type to ensure your Trip Members are aware of guidelines, policies, or any other kind or required reading you may wish to create. You may either enter the content or you may choose to upload a file, and your Team Members will be asked to acknowledge they have read it.
- Select the Read & Accept requirement type.
- Requirement Name (this will only be seen internally) A time-saving tip for when you are creating an actual trip is to give all your requirement names a prefix to more easily select which ones belong to which type of time. For example ALL_ for something all trips, INTL_ for only something needed on international trips, DOM_ for domestic trips, YTH_ for youth, and so on.
- Friendly Name (this is what will be displayed to the Trip Leaders and Participants)
- Type or paste in your content into the Required Reading field or upload a file (if you need it to be a formated document). For downloaded documents, they will be given a link to download the document to view before clicking the Accept button to fulfill their requirement. **Note our screenshot example below shows uploading the file for the participants to be able to download before accepting. Note, it does not force the download.
- Select Create Requirement to save.
See the screenshot below. This is the participant view of Read and Accept when you upload a document.
Use the Download & Upload requirement type to allow your Trip Members to download forms that need to be notarized or otherwise processed by hand, and then re-upload them back to you.
- Select the Download & Upload requirement type.
- Requirement Name (this will only be seen internally) A time-saving tip for when you are creating an actual trip is to give all your requirement names a prefix to more easily select which ones belong to which type of time. For example ALL_ for something all trips, INTL_ for only something needed on international trips, DOM_ for domestic trips, YTH_ for youth, and so on.
- Friendly Name (this is what will be displayed to the Trip Leaders and Participants)
- Select the document or file you want to use. It could be a document within the platform or a saved document on your computer.
- Select Create Requirement to save.
Use the Question Form requirement type to gather information and preferences from your Team Members.
- Select the Question Form requirement type.
- Requirement Name (this will only be seen internally) A time-saving tip for when you are creating an actual trip is to give all your requirement names a prefix to more easily select which ones belong to which type of time. For example ALL_ for something all trips, INTL_ for only something needed on international trips, DOM_ for domestic trips, YTH_ for youth, and so on.
- Friendly Name (this is what will be displayed to the Trip Leaders and Participants)
- Select Create Requirement, this will lead you to the next page where you will actually create your questions.
Select Create Requirement Question in the Upper Right
5. Choose the format for your question that makes the most sense for the information you're trying to gather: Short Answer, Paragraph, Date, Single Choice, or Multiple Choice.
Once you select the format it will lead you to another screen to create your questions.
6. Complete the answer choices for the format you've selected, and
7. Select Create Profile Question when you are ready.
8. Once you have completed adding your question(s) then click Done to save.
Editing and Deleting Requirements
Make any needed changes to your requirement by selecting it from the Requirements list.
The option to delete a requirement will also appear here.
Please note that you may not be able to delete a requirement that is currently in use on an active trip, and that deleting a requirement is permanent.
