How do I manually add funds to a participant's account? Follow
Occasionally, you may receive donations for a participant through channels other than the participant's donation page.
If this occurs, these funds may be added to the participant's account manually by an administrator.
Follow the steps below to manually add funds to a participant's account:
Access the Trip For Which the Donation is Intended
From the My Trips page, select the trip the donation is in relation to.
From the Trip's page, select Team Members to search for the team member to which the gift is to be applied.
Access the Team Member For Which the Donation is Intended
From the Team Members list, select the participant you wish to apply the donation toward.
Access the Team Member's Funding Details
From the Team Member's Profile, select Funding to view their funding details.
Click the Add Funds button.
Enter the Donation Details
In the pop-up window, you may add the following details:
1. Fund Type: You will select one of the 3 Types of Funding (New Donation, Transfer From Unallocated, or another Allocation Type). Once you select from the drop-down the menu will change to reflect the information needed.
2. Allocation Type: Choose the source of the donation from the available options in the drop-down menu. These are all of the allocation types you have created in your Missions account.
3. Donor Name: Enter in the name of the individual and you will have the option to search to see if they are in the system or add their name, email address, and phone number.
4. Amount: Enter the amount of the donation in dollars.
5. Reference Number: Include a reference number here to help track funds for your accounting team if needed.
6. Note: Add any details here you wish to capture about this donation.
7. You may also choose to hide the donation amount from the team member to whom this donation will be given.
When you are finished, click the Add Funds button to continue.
Fund Types
There are 3 Fund Types: New Donation from an Individual Donor, Transfer From The Trip's Unallocated Funds, or Other which will be for non-individual Donors.
New Donation From Individual Donor
When select "A new donation from an individual donor", you will have the following screen. Follow the steps and enter the information.
1. Allocation Type: this will be selecting what type of donation it is (cash, check, etc)
2. Donor Name: You may enter the Donor Name and search the system. If their information does not come up then you will be prompted to enter their email address and phone number.
3. Amount: please enter the donation amount
4. Reference: this can be a check number or anything identifier you are using offline to track these funds.
5. Note: you record any notes about these donations and it will stay with this donation for informational purposes.
6. Hide Amount: You may hide this donation amount from your participant.
When you are done, click "Add Funds" and the donation will now show in the participants Funding List.
Unallocated Funds
When you select "A transfer from this trip's unallocated funds", a list of the donations in unallocated will appear and you can move all or a portion of donations to the participant.
1. Transfer: by clicking transfer you will be giving a field will appear for you to fill in the dollar amount you wish to transfer.
2. Reference: this can be a check number or anything identifier you are using offline to track these funds.
3. Note: you record any notes about these donations and it will stay with this donation for informational purposes.
4. Hide Amount: You may hide this donation amount and/or donor name from your participant.
When you are done, click "Add Funds" and the donation will now show in the participants Funding List.
Other Funds
When select "A new donation from an individual donor", you will have the following screen. Follow the steps and enter the information.
1. Allocation Type: this will be selecting what type of donation it is (cash, check, etc)
2. Funding Name or Description: You may enter either a name or description of where the donation came from. This will be visible to the Participant.
3. Amount: please enter the donation amount
4. Reference: this can be a check number or anything identifier you are using offline to track these funds.
5. Note: you record any notes about these donations and it will stay with this donation for informational purposes.
6. Hide Amount: You may hide this donation amount from your participant.
When you are done, click "Add Funds" and the donation will now show in the participants Funding List.
